Fundamental Policy Concerning Personal Information Protection

For the personal information of parties, such as Nippon Paper Lumber’s customers, parties related to transactions, and employees that will be used for business, we at Nippon Paper Lumber Co., ltd., and companies related to the business of Nippon Paper Lumber (hereinafter collectively referred to as “Nippon Paper Lumber”) have established autonomous management rules and systems in order to comply with laws and ordinances related to personal information protection and other standards. This policy is Nippon Paper Lumber’s highest-ranking policy related to personal information protection, and we declare that we will reliably execute the various measures in accordance with this policy.

Safety declaration related to handling of personal information

  1. Nippon Paper Lumber will appropriately and strictly manage customers’ information and other personal information and thoroughly implement safety measures so that there will be no leaks, loss, unauthorized access, destruction, or alteration of information.
  2. Nippon Paper Lumber will comply with laws and ordinances related to personal information protection and with other standards.
  3. Nippon Paper Lumber will appropriately handle inquiries related to personal information and personal information protection.
  4. Nippon Paper Lumber will appropriately collect personal information, and it will not provide personal information to third parties without the relevant person’s advance consent.
  5. Nippon Paper Lumber will make all board members, employees, and related parties thoroughly aware of the conditions stated above and will execute, improve, and maintain those conditions.
1.Purposes of use of personal information
Nippon Paper Lumber will use personal information for the purposes below.
  1. Provision of appropriate proposals and information related to various products and services related to work by Nippon Paper Lumber
  2. Provision of materials and information that are requested by customers
  3. Contact, explanations, and provision of materials, information, and services for people who apply for events or public calls for participation (campaigns etc.)
  4. Handling related to inquiries made by customers
  5. Employment management within Nippon Paper Lumber
2.Scope of use of personal information
  1. Joint use within Nippon Paper Lumber
    Nippon Paper Lumber may, within Nippon Paper Lumber, jointly use customer information and other personal information within the scope that is necessary for achievement of the purposes of use.

    Name, gender, date of birth, address, telephone number, fax number, e-mail address, and information related to products and services related to agreement or proposal content
  2. Provision to parties consigned with work
    Nippon Paper Lumber may provide the minimum amount of personal information that is necessary to a party to which work is consigned within the scope that is necessary for achievement of the purposes of use. In such a case, the party to which work is consigned will also be thoroughly urged to execute management in accordance with this policy.
  3. Provision to third parties
    Nippon Paper Lumber will not, without the relevant person’s advance consent, provide personal information to third parties other than its Group companies and parties to which work is consigned.
    Provided, however, that in the cases below, personal information may be provided to a third party without the relevant person’s advance consent.
    1. Cases based on a law or ordinance
    2. Cases in which it is necessary for the purpose of protecting a person’s life, body, or assets and in which it is difficult to obtain the relevant person’s consent
    3. Cases in which it is necessary for the purpose of improvement of public health or the sound upbringing of children and in which it is difficult to obtain the relevant person’s consent
    4. Cases in which it is necessary to cooperate with execution by a national government organization, a local public organization, or a party that has received consignment from such an organization of clerical work stipulated in a law or ordinance and in which there is a possibility that obtaining the relevant person’s consent will cause hindrance to execution of the relevant clerical work

Nippon Paper Lumber will collect personal information by using the proper and lawful methods.
4.Information management, and safety measures
  1. Nippon Paper Lumber will appropriately and strictly manage personal information and implement thorough safety measures so that there will be no leaks, loss, unauthorized access, destruction, or alteration of information.
  2. Nippon Paper Lumber will have the heads of each department play a role of promoting management and will conduct education and awareness-promotion activities for all employees so that they will appropriately handle personal information.
  3. Nippon Paper Lumber will conclude with the parties to which work is consigned and to which personal information will be provided an agreement that stipulates that the consigned party will appropriately handle personal information and will regularly check such the situation of such parties’ management of personal information.
